Including refunds and transfers.

Refunds - Membership

All approved membership refunds are pro-rated and subject to a $15 + GST administration fee. Refunds are only permitted when a medical note is provided from a physician. University of Manitoba staff members may qualify for a refund if they provide a record of employment verifying they are no longer employed by the University or a valid medical certificate is presented.

If a University of Manitoba employee’s membership is on payroll deduction, once a valid medical certificate from a physician is presented, payroll deductions and membership will be inactivated. No refunds will be issued.  When a staff member leaves employment, the UM will deduct the outstanding amount owing for membership fees from payroll entitlements. Once a Record of Employment from the UM is presented the employee will be eligible for a pro-rated refund. A $15 + GST administration fee will apply.

Refunds - Programs and courses (including swimming)

Full refunds will be issued if we cancel a program or day course prior to the start date of the program. If a program is canceled after the start date, the registrant will receive a prorated credit. The credit can be used to register for any other program and is valid for one year from date of issue. Credits can be transferred among immediate family members.

If a registrant withdraws from a program 10 or more days before the start date they may receive a refund less a $15 + GST administration fee. We do not issue cheque refunds of $10 or less. Credits are issued instead and are valid for one year from date of issue. Credits can be transferred among immediate family members.

If a registrant withdraws from a program less than 10 days before the start date they may receive a credit for the value of the program less a $15 + GST administration fee. The credit can be used to register for any other program and is valid for one year from date of issue. Credits can be transferred among immediate family members.

After the start date of the program, a prorated credit or refund minus a $15 + GST administration fee will be issued only when a registrant presents a valid medical certificate at the time of withdrawal. If a credit is issued, it can be used to register for any other program and is valid for one year from the date of issue. Credits can be transferred among immediate family members.

No refunds will be issued when a registrant has been asked to leave a program.

Transfers - Programs and courses (including swimming)

Transfer requests received 10 or more days prior to a program start date will be granted provided there is space in the program.

Transfer requests received less than 10 days before the start date will be granted provided there is space in the program and are subject to a $15 +  GST processing fee.

Refunds - Occupational testing

Test fees must be paid in full to complete registration and are good for one test only. An applicant can only be scheduled for one test/appointment at a time. For example, an applicant cannot book a second test time (re-attempt) until their first test has been completed.

Applicants cannot make any changes within 4 business days (Monday - Friday) of their test. Any changes made within 4 business days will forfeit the full test fee.

If an applicant withdraws from a test:

  • more than 10 business days before the test, they may receive a full refund less a $15 + GST administration fee.
  • 5-10 business days before the test, they may receive a credit less a $15 + GST administration fee. Credits can be transferred among immediate family members and are valid for one year.
  • 4 or less days before the test, they will forfeit the full test fee.

If an applicant does not show up for the scheduled test time, the applicant forfeits the full test fee.

If the applicant wants to re-register for the same recruitment and there are remaining spots available, the applicant must pay a new test fee.

A late registration fee of $50 + GST will be applied (in addition to the test fee) if the applicant registers after the recruitment deadline.
