Personal Information Form
Complete and submit the Personal Information Form to your unit (do not submit directly to Human Resources) if any of the following apply:
- You have been hired by the University for the first time.
- You have been re-hired by the University and your personal information has changed since you were last employed at the University.
- For University of Manitoba Faculty Association (UMFA) or Geographical Full-Time (GFT) appointments only, refer to the principal subject taught codes to complete page two of the Personal Information Form
Claim your UMNetID
Your UMNetID is your key to all the accounts and services you’ll need to access while employed at UM. Please claim your UMNetID before your first day of employment.
If you’re a new employee and do not already have an existing UMNetID (student or past employment), you can claim your UMNetID within 48 hours of accepting your offer of employment, and up to 5 business days before your start date. Please refer to the email you received after accepting your offer which contains your employee number needed to complete this process.
Previous UM employees or students may already have an active UMNetID. If you’re not sure, contact IST.
Your UMNetID will provide you with access to the following on the first day of your appointment:
- Your staff (@umanitoba.ca) email account. Please note, for any issues accessing your email on or after your appointment start date, please contact IST for assistance. We encourage you to sign up for the IST Alert Mailing list to stay informed of current and planned outages and problems.
- Employee Self-Service (ESS): The employee self-service portal, where you’ll view your pay statements, employment tax forms (T4/T4A), salary and benefits information, your personal information, and other details of your employment.
- UM Learn: The University of Manitoba’s Learning Management System where mandatory online training will be completed in your first week of employment.
Legal documentation for foreign workers
Before you can start work at UM, we need some important information from you before we can pay you. Authorization to work in Canada can be provided by sending us a copy of a valid work permit or a copy of a study permit that contains the additional paragraph confirming that you are able to work. Please email a copy of this information to HR.OfficialDocs@umanitoba.ca with your name and the type of document in the subject line before your start date.
Within your first 3 days of employment at UM, we need the following in order to pay you:
- In accordance with the Employment Insurance Act Regulations, please provide your Social Insurance Number that you obtained from a Service Canada office, including the date it expires.
- For permanent residents of Canada:
- a copy of your Permanent Resident Card, or
- a Confirmation of Permanent Residency landing document if you have just arrived in Canada and have not yet received the card.
Please upload a copy of these documents to the Employee Self Service portal (ESS). You will be able to access the ESS portal as of your first day of work.
For course instructors
Please contact your employment supervisor to make arrangements to receive the course outline, course textbook order and to discuss any audiovisual requirements for the course.
Please review the Responsibilities of Academic Staff with Regard to Students (ROASS) documents and academic integrity policies and procedures.

As you begin your career journey at UM, you’ll gain access to numerous valuable resources, many of them housed on the UM Intranet. The UM Intranet will also be your source for work supports, employee resources, unit information, and much more.
On your first day of work, you will gain access to the UM Intranet, where you will find a comprehensive new employee checklist to guide you through your first 3 months of employment.
