Printer and print services overview

The University of Manitoba is a buying group member of the Government of Manitoba Collaborative Procurement Initiative's Standing Offer Agreement for Printers, Print Services and Optional Print Services.

The new agreement offers the University a fully managed service with a full complement of print devices to choose from. The new program provides a lower total cost of ownership (TCO) in comparison to our previous program, and you will continue to have a choice when to acquire a new device.

Effective immediately, you can acquire print devices from our new program.

Existing Kyocera print devices at the University of Manitoba will continue to be supported by Gold Business Systems.  

The MB Gov – Print and Print Services agreement was awarded to WBM Technologies Inc.  University of Manitoba selected WBM Technologies to provide Ricoh print devices for use at the University of Manitoba.  

Who is WBM?  

WBM Technologies was awarded a contract to provide managed print services to various Government of Manitoba entities, including schools, hospitals, and universities. The University of Manitoba has opted into this contract for our Managed Print Services with the benefit of delivering advanced print technology solutions and support services. The goal is to provide reliable and efficient support for the Ricoh printer product line through a team of professionals based in Manitoba, managed by WBM Technology Inc

WBM Product Line

Currently, the University of Manitoba has opted to make use of the Ricoh printer product line from WBM Technologies, which includes 20 different models from black and white desktop devices to colour Multifunction Printers and plotters. Invoicing Process

Invoices for WBM purchase orders (device acquisitions, accessories, staples and device relocations) will be sent to Supplier Payment Services for payment.

Monthly impression charges will be automatically charged to a department FOAP via an electronic data interface between UM and WBM. 

Request and setup new printer

As part of their service to the University, WBM will help to assess the printer that best fits your department’s requirements.  

To purchase a new printer, please use the following steps:

  1. Complete the intake form here: New printing device intake form (PDF) and send the form to ccc@wbm.ca with the subject: U of M – New Print Device

    Please note: It is important that you complete the intake form fully and accurately. If you are unsure of how to answer a question, please contact WBM for help via email: ccc@wbm.ca or phone: 1-888-275-4926.
  2. A WBM representative will contact you to review and suggest changes or make recommendations.  
  3. WBM will email you a formal, itemized quote along with a formal QT number.
  4. If the quote is acceptable, send the quote to EPIC for purchase. A PO will be issued to WBM.
  5. A WBM Product Specialist will send the requestor confirmation that the device has been ordered and the WBM Customer Success team will contact the requestor to schedule a deployment date. WBM will provide make, model, and MAC address for the incoming device; this will need to be shared with the University IT representative. In response, the University IT representative will ensure power and network port is working and available at the location the print device is to be installed and provide a hostname for the incoming device to WBM via email.  
  6. A WBM technician and WBM warehouse associate will arrive at the University of Manitoba site at the time, date and location agreed upon with the requestor.
  7. Where possible, a backup and transfer of the address book and hostname from old device to the new device.
  8. University IT will be contacted to complete network configuration which includes print driver refresh and password confirmation.
  9. WBM will confirm the installation is complete and print services are working with the installed device. 

Problems? Need support?

When a print device is not working, contact WBM via phone (1-888-275-4926) or email (ccc@wbm.ca) during regular business hours (8:00 AM – 5:00 PM CST, Monday – Friday – excluding stat holidays). Please be prepared to provide the following information:

  • Identify yourself as a representative of the University of Manitoba
  • Printer Serial Number or Equipment Number, location of equipment (address, site, building).
  • A description of the problem.

The WBM agent will provide you with a work order number and will attempt to troubleshoot the problem remotely. If this does not work, the call may be escalated, or arrangements may be made to dispatch a technician.  

Existing Kyocera print devices at the University of Manitoba will continue to be supported by Gold Business Systems.   

Frequently asked questions

Can we continue to use Kyocera devices?

You can continue to use Kyocera devices supported by Gold Business Solutions until one of the following occurs:

  • Kyocera announces “end-of-service and support" for the device.
  • Kyocera device configuration no longer meets the changing business needs.
  • Kyocera operational cost (cost per page) versus the Ricoh operational cost (cost per page) difference is significant enough to consider purchasing a new device  
Can we continue to use Xerox devices or need to buy new Ricoh devices from WBM?

The University has been informed Xerox announced “end-of-service and support” for all devices at the University of Manitoba on December 31, 2024.  You can continue to use these devices, but it will be the sole responsibility of the faculty or department to acquire toner and 3rd Party break fix support.

WBM Technologies will provide Xerox service and toner until March 31, 2025.  

NOTE: WBM is offering Best Effort Repair Services – based on market availability of Xerox parts.  

There is no guarantee that parts will available until March 31, 2025 when this service winds down.

Hourly rate: $75/hour (minimum $150 per call). NOTE: weigh the risk and cost of this temporary service.

What is the Ricoh devices cost per page (CPP).

There is a fixed CPP rate for black/white and colour pages.  These two fixed rates are for all Ricoh device models for the duration of the agreement.
