Finding and Requesting Rooms

These web pages are a resource for requesting rooms at the University of Manitoba for non-academic activities.  Please read all instructions before continuing. Separate instructions exist for booking space for academic purposes.

 
The U of M is pleased to announce that most* space booking requests can now be made using Astra Schedule, the U of M’s centralized scheduling system.

Astra Schedule will allow you to search for an appropriate/available space based on your building preference, space, and/or equipment needs.  Rental charges may apply.  Requests must be made at least two business days prior to the date of the activity**.

Please note that room bookings for future terms will not be confirmed until academic space allocations for those time periods have been completed - you will be notified by the building scheduler if this is the case.

*Some spaces on campus are not booked using Astra Schedule, these include: meeting rooms, banquet rooms and exhibit/trade show spaces in University Centre; the Pembina Hall banquet room; and recreational facility spaces in Frank Kennedy Centre (FKC), Investors Group Athletic Centre (IGAC) and Max Bell Centre (MBC).  For more information, click here.

**If you require a space for an event occurring within the next two business days, your request must be made directly with the building contact – get more details on making "last minute" changes or requests!

Important Notes:

  • Room booking coordinators strive to respond to requests within 48 working hours (Monday to Friday), excluding holidays.
  • You will be notified if the space you’ve requested is not available; in some cases you may have to submit a new request for an alternate space.
  • Use of space is dependent on faculty/school policy.
  • Rental fees may be assessed for use of certain spaces; notification of such charges will be provided.
  • Please allow three business days if requesting additional audio-visual equipment (items not already included in the room).
  • The U of M’s Event Day Transportation and Parking Plan will be in effect for Investors Group Field events that draw 15,000 visitors or more to campus - this affects how vehicles can access campus and where they can park.
