Booking a Room

University of Manitoba - Bannatyne Campus Rooms
The online Astra Calendar can be used to check for room availability and to search for rooms that would be appropriate for your event based on a variety of available search options.

Health Sciences Centre Rooms
There are a wide variety of rooms and theatres available that within or affiliated with the HSC Hospital campus. It is recommended that you go see these rooms in person prior to booking so that you are aware of the room layout and features.

Important Additional Services/Considerations

Does your event start outside of regular office hours (8:00am - 4:00pm)?
If yes, you need to notify the institution's Security Services ahead of time so that the door is unlocked for your event. If the door is locked when you arrive, call security to open.

Do you require additional tables and/or chairs?
Even something simple like one table for food and drinks at an event requires a work order. There is a fee for the equipment rental and another for set-up. Requests for these services are made to Physical Plant (Caretaking Services) through their online Bannatyne Event Set-Up Request Form.

Do you require basic AV services?
Basic AV services do not require any additional booking but it is recommended that you mention what you will be using when you book the room. This includes phone line, smart-board/monitor, or projector use. Remember: If your presenter will be using a Mac or tablet of any kind to present, they need to have an Mini Display Port-HDMI adaptor.
Important Note: AV Help is not available outside of regular office hours so test your equipment before use if you will be using it after 4:00pm.

Do you require advanced AV services?
Advanced AV services include microphones, video conferencing, video recording, or live streaming. These services must be booked well in advance and there may be costs associated with use, depending on what room or equipment you're using. Additional fees are applied if your event is outside of regular business hours as they must pay overtime. To book these services, use the IST A/V Booking Form. Information about all the services available through IST can be found on their Online Service Catalog

Do you require catering?
You must complete a Hospitality Pre-Approval Form before placing any catering orders.
Important: Food is not permitted in some rooms/theatres. Always ask the administrator who confirms your room booking if you are unsure of the regulations for that room.
Catering for events using a UofM room
rovided by Aramark. Once you have pre-approval, place your order through their online order system - CaterTrax. Be sure to click the button for Bannatyne orders at the top left, just after logging on, or it will divert your order to main-campus catering.
Catering for events using an HSC room
This can include the Buhler Atrium. Ordering information - coming soon.
External Caterers
It is possible to bring in food from an external caterer (a local restaurant, for example) but there is a fee associated with this and a contract that must be signed. The event organizer must also have their Food Safety/Handling certificate. Contact Bannatyne Catering Services for details. (204)272-3128.
