Withdrawal, Deferrals and Refunds Policies

Deferral:

A student who applies to the Intensive Academic English Program (IAEP) at the English Language Centre (ELC), but is unable to attend, can defer their application to the following term. Students cannot defer more than one consecutive term. Any student who defers and does not attend must re-apply.

Any tuition amount paid will be held until the following term. Students who cannot attend the term in which they were deferred will forfeit 50% of the tuition fee having already forfeited the $500 NRF(Non-Refundable Tuition Fee) provided they submit their request in writing to elc@umanitoba.ca prior to the refund deadline.

If a student does not request a refund by the posted deadline, the student will forfeit 100% of their tuition payment.

Refund:

When students officially inform the ELC Main Office of their desire to Withdraw from their current or future term of IAEP, they may be entitled to receive some or all of their tuition back. Students must meet all the requirements outlined by the ELC office in order to be eligible for a tuition refund.

The ELC does not refund:

  • Tuition Application fees
  • Homestay application fees
  • Health Insurance Plan fees
  • $500 Non-Refundable Tuition Fee (NRF)

Tuition Fee refund:

  • The student must request a refund in writing to elc@umanitoba.ca or in person at the ELC office - 520 University Centre.
  • All requests for tuition refunds must be completed by 1:00 pm on the deadline date.
  • New students withdrawing before the Placement Test are eligible for 100% refund minus $500 NRF.
  • New students withdrawing during the first week of classes will forfeit 50% of the tuition fee in addition to the $500 NRF.
  • There are no refunds for tuition after the first week of the program.
  • Returning students are eligible for a refund before the Placement Test. After the Placement Test, returning students are no longer eligible for a refund.
  • If a student is transferring to another department or their visa is rejected the ELC will refund 100% of tuition fees, the $500 NRF and Health Insurance fees provided the student informs the ELC office prior to the start of the program. Otherwise regular refund fees will apply.
  • Students who withdraw before the Placement Test are eligible for 100% refund of the Health Insurance Plan fee.

Visa rejection:

  • If the Canadian Government rejects an application for documents necessary to enter Canada, the ELC will refund all tuition fees and health insurance fees. Students must apply for this refund in writing to elc@umanitoba.ca and include a copy of the letter of rejection.
  • The ELC office must be notified of the visa rejection before the start of the program otherwise regular refund policies will apply.
  • Students who defer their acceptance because their visa was denied, must submit a new visa rejection letter along with their written refund request to be eligible for a full tuition refund for the term in which they deferred.

Withdrawal:

Students must request an official withdrawal in writing to elc@umanitoba.ca or in person at the ELC Office- 520 University Centre by the posted deadline.

Students who do not officially withdraw, and stop attending the program will be marked as a Fail, with no refunds given.

Withdrawals made after the start of the term require the approval of an ELC Program Coordinator; students should contact the ELC Main office to arrange an appointment with a Program Coordinator should they wish to withdraw.

LEGEND FOR REFUND DEADLINES:

  • Pre-program withdrawal is the day before the Placement Test.
  • First Week withdrawal is during the first full week of classes (the week after Orientation).
  • A Voluntary Withdrawal (VW) is any time after the First Week Withdrawal, but before the determined & posted official VW deadline.  
    • Spring/Summer 2019 term VW deadline is Friday, July 12, 2019
