Booking Instructions

Book Polycom at the same time you book 250 Allen, by calling the Science secretary at ext. 6803.

Provide account number.

Prior to your meeting, pick up the Polycom and key for 250 Allen from the Faculty of Science office, 239 Machray Hall.

After your meeting, return Polycom and key to the Faculty of Science - if your meeting goes beyond 4:30 p.m. please make arrangements with the Faculty of Science.

Operating Instructions

Plug in phone line and 2 speakers to Polycom. The phone line is under the grommet in the middle of the table.

Incoming Call: Only one incoming call is possible. Make arrangements for the caller to dial 474-6679. At the time of the call, make sure the Polycom is turned off, wait for it to ring, then turn it on to speak with the caller.

Outgoing: Single Call – Turn machine on. The machine is ready for dialing when you hear the dial tone. Dial the same as for regular telephone calls, remembering to precede your call with a "4".

Outgoing: Multiple Calls (maximum of 5) – Turn machine on. The machine is ready for dialing when you hear the dial tone. Dial the first number, ask them to wait, press the flash button; dial the second number, ask them to wait, press the flash button - repeat up to a maximum of 5 calls. Be sure to press the flash button after you have connected with the last call.

Combination of Incoming Call and Outgoing Call(s): Repeat operating instructions 1, 2 and (3 or 4). Be sure to connect with the incoming call first, then press flash before dialing the outgoing calls, and be sure to press the flash button after connecting with each caller.

When finished your conference call, turn the machine off.


Note: Mute buttons are located on each speaker and on the main unit. If you press any of these mute buttons, the people you called will not be able to hear your conversations, but please let them know that you will be able to hear their conversations.
