BRIEFING

  • MGS AWARD:  The MGS is offered to student who have been awarded the UMGF.  Students who have been awarded the UMGF will AUTOMATICALLY have their names submitted for consideration to the Manitoba Graduate Student Fellowship (MGS) competition.  The MGS is additional funds offered to those UMGF awardees who meet exceptional academic and research achievements (as stated in the student's UMGF application and references).
  • UMGF AWARD RESTRICTION
    Only the following students will be considered for the BME UMGF -- all other applications will be shredded
    1. Only those students OFFERED ADMISSIONS by the Faculty of Graduate Studies, to the BME Graduate Program
    2. Only those students who have ACCEPTED their Offer of Admissions by the UMGF AWARD DEADLINE DATE (31 March 2018) will be considered for this award
    3. Students in GOOD STANDING
      Students must be in "GOOD STANDING" at the time they are reviewed for the UMGF.  ALL restrictions, holds, probationary notices, grade deficiencies, etc. must be removed before the beginning of the Award Review Period.  GOOD STANDING includes, but is not limited to the following: 
      1. A minimum Cumulative, Award, Degree, and Term GPA as stated for this award
      2. Student is not on Academic Probation
      3. Progress Report ratings MUST be at minimum SATISFACTORY
      4. Student has met the Department's standards for being in "Good Standing"
      5. Students who must not have HOLDs on their accounts
      6. Currently enrolled students who have successfully completed and submitted their ASG form(s) and online Academic Integrity Tutorial.
    4. TIME LIMITS IN PROGRAM
      1. M.Sc. students must have a minimum of one(1) full AWARD YEAR left in their program
      2. Ph.D. students must have a minimum of two(2) full AWARD YEARS left in their program
    5. PROGRAM RESTRICTIONS:  This award is offered only to 
      1. FULL-TIME students
      2. MASTER OF SCIENCE students
        1. Who are students in the Graduate Program in Biomedical Engineering
        2. When funding is available
        3. Conducting RESEARCH with a professor in Biomedical Engineering
      3. Ph.D. students
        1. Who are students in the Graduate Program in Biomedical Engineering
        2. When funding is available
        3. Conducting RESEARCH with a professor in Biomedical Engineering
      4. RESEARCH Students
        1. NOT available to NON-research students
    6. AWARD GPA

      In calculating Award GPA we use GRADES EARNED in the last 2-years of study or EQUIVALENT (e.g. previous bachelor, previous master, etc.)
      If no grades are available for a term or year we work backwards until grades are available (i.e. we do not use terms/years in which NO GRADES were earned).

      1. a minimum GPA of 3.75 must be achieved in EACH YEAR used for this Award Calculation
        (using the University of Manitoba Faculty of Graduate Studies scales and calculations methods)
      2. an overall GPA of 3.75 must be achieved in the LAST 2-YEARS or EQUIVALENT
        (using the University of Manitoba Faculty of Graduate Studies scales and calculations methods)
      3. INCOMING STUDENTS & FINAL TRANSCRIPTS -- The Award GPA is calculated using Final Grades.  All GPAs including Award GPA are recalculted up receipt of the Final Offical Transcripts. Should, after the receipt of your Final Official Transcripts, your grades fall, you may lose this award
  • UMGF APPLICATIONS: 
    • USE THE CORRECT APPLICATION:  Each university, academic department distributes its own UMGF application so applications may vary amongst departments -- please use only the UMGF application for the Graduate Program in Biomedical Engineering. 
      • We will distribute our UMGF application ~03 February to all student granted admissions AND, in addition, who have "accepted" their offer of admissions to BME by 31 Mar. 2018
      • Old or UMGF applications from another department will not be considered by the Graduate Program in Biomedical Engineering for this award
    • INCOMPLETE APPLICATIONS:  will not be considered for this award.
    • LATE APPLICATIONS:  will not be considered for this award
  • FINAL AWARD DECISIONS:   Award Results are verified and confirmed by the Faculty of Graduate Studies.  ALL award FINAL DECISIONS and AWARD NOTIFICATIONS are made by the Faculty of Graduate Studies. Final Decisions regarding awards are announced  ~01 June.
  • APPLICATIONS WILL BE EMAILED TO ALL BME STUDENTS. 
    • CURRENTLY REGISTERED BME GRADUATE STUDENTS:  All currently registered BME students will be sent UMGF Applications
    • INCOMING BME GRADUATE STUDENTS:  Only those students who have been offered admissions into the Graduate Program in Biomedical Engineering by the Faculty of Graduate Studies AND who have accepted their Offer of Admissions by 31 MARCH 2018 will be sent applications.  
    • USE THE CORRECT UMGF APPLICATION: 
      • BME Applicants must apply using BME UMGF Applications for the current award year.

    • As Page 18 is NOT considered part of the Student Section of the UMGF you do not need to submit this page with your application in order for it to beconsidered complete

    ELIGIBILITY

    1. MINIMUM GPA REQUIRED:
      Students with a minimum Award GPA of 3.75 (approximately A-) in the LAST 2-YEARS of study, or EQUIVALENT, at a recognized university, based on a Bachelor, Masters, Graduate Diploma, and/or a Doctoral degree(s).

      2. Calculations:  Please use admissions criteria in calculating GPA (http://umanitoba.ca/biomedical_engineering/prospective_students/index.html#GPA_Calc
    2. MINIMUM GPA REQUIRED IN YEARS USED IN CALCULATING GPA:
      Students must show an MINIMUM GPA of 3.75 (approximately above B+) in EACH year, or EQUIVALENT, used to calculate overall GPA.
    3. CONTINUED "GOOD-STANDING" STATUS
      Students must maintain a "Good-Standing" status academically and in research as follows
      1. Faculty Requirements (including, but not limited to)
        1. Maintaing a Term & Cumulative of least 3.5 or higher throughout the ownership of the UMGF award
        2. Academic Honesty
        3. Continuous Registration in the Graduate Program
      2. Departmental Requirements (including, but not limited to)
        1. Progress Reports
        2. Advisory/Research Meetings
        3. BME Seminar Attendance
        4. BME Seminar talk in the second year of the student's program
        5. Candidacy Exam: Completed within 12-months of registering as a Ph.D. student 
        6. Ph.D. Thesis Proposal: Completed within 27-month of registering as a Ph.D. student 
      3. AWARD RESTRICTIONS
        IMPORTANT!  Please also be award of the Award Restrictions
    4. Ph.D. STUDENTS (Candidacy): 
      Students in the Ph.D. program must have successfully passed their Candidacy Exam in order to obtain the UMGF or considered in "Good-Standing", with regards to the Candidacy Exam, as deemed by the BME Graduate Committee. 
      1. The BME Graduate Committee may offer a UMGF each year to an incoming Ph.D. student however, continuance of the award is based on successful completion of the Candidacy Exam.
      2. Ph.D. students must pass their Candidacy Exam within 1-year of the start of the student's Ph.D. program
    5. Ph.D. STUDENTS (Thesis Proposal): 
      Students in the Ph.D. program must also present their Ph.D. Thesis Proposal within 27-months of the start of their Ph.D. program to be kept in "Good Standing" and continue to receive the UMGF.
    6. CITIZENTSHIP:
      1. All students regardless of citizenship are eligible to apply.
      2. Canadian Citizens & Permanent Residents:  In order to be considered for the UMGF eligible students (Canadian Citizens/PR) are expected to apply to NSERC, SSHRC, CIHR & MHRC
      3. Tricouncil eligible students who do not apply for a Tricouncil Award may be considered ineligible for a UMGF. 
    7. FIELDS OF STUDY:
      Students in all fields of study of graduate studies are eligible to apply. 
    8. STATUS:
      1. Only FULL-TIME BME students are eligible to apply for the UMGF Award.
      2. Part-time students cannot receive this award 
    9. YEARS OF GRADUATE STUDY:
      Students are eligible to receive the UMGF for
      1. up to the first 24-months of their Master’s program (see  Award Duration)
      2. up to the first 48-months of their PhD program (see  Award Duration)
      3. Total maximum UMGF support for any individual graduate student is 48-months. 
        (Please refer to the Award Holder’s guide for more detailed eligibility criteria (see  Award Duration).
    10. INCOMING STUDENTS 
      (students who are not already in a student of the University of Manitoba, and/or a student Applying to a New Program in BME (e.g. Master to Ph.D.), and/or a student changing from another graduate program to BME, etc. -- any new applicants):

      1. In addition to the aforementioned stipulations you MUST be admitted into the UofM BME Graduate Program and your NEW degree program (if applicable) and accepted the Offer of Admissions by the AWARD DEADLINE DATE to be considered for this award.  This means you must be accepted by
        1. an Academic Advisor
        2. the Department
        3. the Faculty of Graduate Studies
          • have NO "CONDITIONS" on your Admissions Acceptance
        4. REPLIED to and ACCEPTED the Offer of Admissions Letter BY THIS YEAR'S AWARD APPLICATION DEADLINE DATE
      2. Admissions Application, processing fees, and all required documents must be received AND verified by the Faculty of Graduate Studies by the Dept. submission deadline in order to be considered for this award.
      3. Choice to begin the award at specific start dates must be approved by your Academic Advisor and Department
      4. Interntional Students:  Confirmation of a valid study visa is required 
      5. Confirmation of enrollment/registration is required
        1. International students MUST have a valid study visa at the time of enrollment/registration is required (all paperwork to obtain student status in Canada must be in place before registration)
      6. Students who defer entrance will lose the award
    11. AWARD HOLDERS GUIDE:  Any additional requirements and/or regulations as mentioned in the current Award Holders Guide issued by FGS
    12. AWARD AVAILABILITY:   Is at the descretion of the BME Graduate Committee, but is usually September or Winter of the academic year designated on the award application.  Students who defer regardless of reason risk losing the UMGF award.
    13. TOTAL MAXIMUM UMGF SUPPORT for any individual graduate student is four-years (48 months) and includes the MGS if applicable 
    14. OTHER INCOME:  EMPLOYMENT / OTHER AWARDS
      1.  Award holders are expected to devote the majority of their time to the expeditious completion of their degree program. As a guideline in this context, the Faculty of Graduate Studies limits the number of hours of employment per 12-month period to 720 hours (within the university and outside the university).
      2. Internship hours are not counted as part of the 720 hours maximum, provided that they are a requirement of your program of studies.
      3. You may not concurrently hold an award that exceeds the value of the UMGF/MGS
      4. Students offered an external award that is equal to or exceeds the value of the UMGF/MGS may not hold the award
      5. Students may not work as a full-time employee at any time during tenure of the scholarship

    UMGF RENEWALS - Students who are awarded a UMGF are required to apply for external funding, if they are eligible, to qualify for subsequent year(s) of funding.  Students who are eligible to apply for external funding and do not do so will be considered INELIGIBLE for renewal of their award.

    GUIDELINES

    1. Applicants must be Full-Time BME graduate students
       
    2. The UMGF is open to both Canadian & International students
       
    3. GPA REQUIREMENTS 
      1. AWARD GPA:   A minimum totaling at least  3.75 GPA (above B+) -- (calculated using grades earned in the last 2-years of study, in a degree program) *
      2. TERM GPA:      A minimum total  3.75 GPA (above B+) for EACH YEAR used to caluculate Overall GPA is required  -- (calculated using grades earned in a degree program)
      3. CUMULATIVE GPA:   A minimum total  3.75 GPA (above B+) overall GPA in the Graduate Program is required
      4. Only grades received from recognized institutions of higher education are used in GPA calculation
      5. GPA is based on your Bachelor, Master, Graduate Diploma, and Doctorial degrees
      6. GPA REQUIRED TO KEEP THE UMGF
        1. A 3.50 GPA must be maintained to continue to hold this award
        2. NO grade below C+ (including AX courses) may be received while holding this award

     

    * For this award, a "year" is be considered as 2-3 terms in which grades are earned.

    AWARD PAYMENTS    

    Students must be admitted and registered as full-time graduate student, without provision, in the academic year in which they are to receive the UMGF.

    1. UMGF payments are disbursed in biweekly installments which are deposited directly into the student’s account.
    2. May payment is contingent upon continued eligibility and approval of a satisfactory renewal form which UMGF recipients receive in December.
    3. Award payments are not directly credited towards tuition -- students are responsible for paying their own tuition.

    SELECTION & NOTIFICATION
    The Faculty of Graduate Studies Awards Committee, which consist of 12 faculty members and 3 graduate students provide equal representation from the three disciplines – natural sciences and engineering, social sciences and humanities, and medical health sciences.

    SELECTION CRITERIA:   Applicants for the UMGF are evaluated and selected according to the criteria in the following categories:

    NOTIFICATION OF AWARD DECISION 

    1. The Faculty of Graduate Studies announces the results      
      1. Applicants will be informed of award receipt, alternate status, or rejection, after ~01 JUNE
      2. The BME Dept will send out letters to those students who did not receive the UMGF Award OR who are considered Award Alternates   
    2. Successful applicants receive notice of award and must refer to the relevant UMGF Award Holder’s Guide, which contains instructions on how to
      1. obtain payment
      2. requirements for KEEPING the award
      3. regulations pertaining to the award

     

     Award Results are varified and confirmed by the Faculty of Graduate Studies.  ALL award FINAL DECISIONS and AWARD NOTIFICAITONS are made by the Faculty of Graduate Studies.

    TERMINATION OF AWARD

    1. VOLUNTARY AWARD TERMINATION:  Students may wish to terminate their UMGF for a variety of reasons (e.g.  job, decided to attend university part-time, etc.). Should you wish to terminate your award you must do so in writing.
      1. Send an email directly to the UMGF AWARDS ADMINISTRATOR, Ms. Laura McMillan at Laura.Mcmillan@umanitoba.ca  
        1. Your FULL Name (please indicate your Family Name in ALL CAPS)
        2. Your Student Number
        3. The Termination Date of your award
    2. MANDATORY AWARD TERMINATION
      1. Awards will be terminated for students who do not maintain "Good Standing" (e.g. GPA falls below 3.5, violate academic integrity, etc. )
      2. Does NOT maintain Department Requirements for the student's program (e.g. does not pass Candidacy, does not obtain Thesis Approval, does not maintain an "Adequate" rating Progress Report or other academic/research reviews)
      3. Does NOT maintain CONTINUOUS REGISTRATION
      4. Changes Departments
      5. Changes Program (M.Sc. to Ph.D. or vice versa)
      6. Changes Universities
      7. Obtains a Full-Time Job
