Incumbents at this level are responsible for a faculty or departmental stores operation with a large turnover and inventory (several thousand items). Under general supervision, but with considerable independence, they plan and co-ordinate all inventory, procedural and related stores activities. Supervision of junior staff may be a requirement. These stores operations typically have a significant diversity in type and scale of stock and equipment stored. They also require the application of specialized training and/or knowledge which may include: computerized inventory system, microscope repair, or other specialized applications.


  • Makes changes to quantities and substitutes items on own authority.
  • Advises and assists researchers in the selection and purchase of equipment, chemicals and supplies.
  • Solves problems requiring extensive data searches in technical catalogues and publications to determine substitutions, interchanges and compliance with specifications.
  • Maintains computerized inventory records and control records for cost accountability and balances on hand, solving all discrepancy problems (e.g. issues I.D. charges, calculates prices, makes ordering decisions, etc.).
  • Is responsible for all capital equipment records, identification and location.
  • Establishes minimum and maximum stock levels, modifying and adapting guides for effective acquisition, handling and storing of items to maintain adequate stock on hand.
  • Orders, receives, stores and distributes supplies, equipment and materials.
  • Controls stock in a large stores operation.
  • Authorizes full or partial payment for shipments received.
  • Inspects goods received for shortages, damage, etc., and resolves problems.
  • Distributes and may supervise storage and transport of corrosive, explosive, flammable or toxic chemicals.
  • May be required to ship goods from one location to another via commercial transportation systems or University messenger service.
  • Performs equipment assembly, minor repairs and/or adjustments or more specialized repairs (e.g. to microscopes, calibrating balances, etc.).
  • Arranges for repairs to major equipment by sources outside the department.
  • Is responsible for safety and security of stores facilities and may serve on departmental safety committee and other committees as assigned. Maintain and update MSD files.
  • May be responsible for the set-up, stocking and preparation of standard chemical solutions for laboratories.
  • Is required to instruct users in the operation, safe handling, storage and disposal of equipment, chemicals, drugs, etc.
  • Arranges for A/V equipment required by the department and is responsible for the use of departmental owned A/V equipment.
  • May train and supervise more junior stores staff.
  • Develops and maintains systems for physical storage and inventory/cataloguing taking into account WHMIS legislation.
  • Is required to obtain knowledge of and comply with safety policies applicable to the workplace.
  • May act as Departmental Safety Officer or WHMIS Coordinator.
  • Performs other related duties as required or assigned.


The minimum qualifications necessary for acceptable (satisfactory) job performance are:

Level of Formal Education

High school completion with additional science training of 2 - 4 years at a University, College, or Technical Institution plus 5 years of directly-related stores experience, preferably including 2 years in a University setting.


An acceptable equivalent combination of education and experience may be considered.

  • Must demonstrate initiative, independence and good judgement.
  • Ability to communicate effectively with staff, students and the public.
  • Ability to supervise and train subordinate employees where required.
  • Requires basic computer skills (databases, spreadsheets, internet)
  • Ability to supervise and manage a large stores facility.
  • Ability to organize and maintain accurate records and to make decisions quickly and effectively.
  • Ability to maintain a computerized inventory system.
  • Ability to use tools and equipment as required.

Physical Requirements

Capable of performing the duties as assigned, which may include moderate to heavy lifting.
